Key Responsibilities
- Coordinate all aspects of real estate transactions, including contract management, scheduling inspections, appraisals, and closings.
- Maintain clear and efficient communication with clients, agents, lenders, and other stakeholders to ensure a smooth transaction process.
- Ensure all necessary documents are completed and submitted on time, meeting compliance requirements.
- Track and manage transaction deadlines to prevent delays or missed opportunities.
- Provide administrative support to real estate agents and clients throughout the transaction lifecycle.
- Review contracts, agreements, and legal documents for accuracy.
- Handle the preparation of closing documents and assist in preparing for closings.
- Update and maintain the transaction management software with current information and status.
- Troubleshoot and resolve any issues or concerns during the transaction process.
Required Skills and Qualifications
- Proven experience as a Real Estate Transaction Coordinator or in a similar administrative role.
- In-depth knowledge of the real estate transaction process, including contract management, title, escrow, and closing procedures.
- Strong organizational and time-management skills with the ability to manage multiple tasks and deadlines simultaneously.
- Proficient in using real estate transaction management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, real estate agents, and third-party vendors.
- Detail-oriented with a keen eye for accuracy in document management.
- Ability to work independently, problem-solve, and make decisions under pressure.
Experience
- At least 2 years of experience as a Real Estate Transaction Coordinator, Real Estate Assistant, or a similar role in the real estate industry.
- Experience working with online platforms and remote teams is preferred.
- Familiarity with local, state, and federal real estate regulations and compliance is a plus.
Working Hours
- Full-time remote position.
- Flexible working hours; however, the role requires availability during standard business hours (9 AM – 5 PM EST) to coordinate with clients, agents, and other stakeholders.
Knowledge, Skills, and Abilities
- Comprehensive understanding of the real estate industry, transaction processes, and relevant laws and regulations.
- Ability to prioritize tasks and manage time effectively.
- Strong interpersonal skills to build relationships with clients, agents, and other team members.
- Tech-savvy with experience using real estate CRM systems, transaction management tools, and online document storage platforms.
- Problem-solving abilities and attention to detail to identify and resolve issues swiftly.
